Get OmniFocus Back on Track Workshop

When your OmniFocus system falls into disrepair, the solution isn’t to abandon it—it’s to clean it up, tune it up, and establish the workflows that keep it functional.

Your OmniFocus database may have become cluttered, outdated, or overwhelming. Perhaps you’ve fallen out of the habit of using it, or your tags and projects no longer reflect your current reality. This interactive workshop will help you get your system back on track and establish the maintenance routines that keep it there.

What We’ll Cover

In this hands-on workshop, we’ll work through a structured process to help you restore your OmniFocus system to full functionality:

  • Mind Sweep – Be guided through a comprehensive “mind sweep” to surface open loops, identify important tasks missing from OmniFocus, and capture what’s been living in your head instead of your system.
  • Inbox Processing – Work through your OmniFocus inbox with guidance, identifying what belongs in OmniFocus and what is best kept elsewhere, and making clear decisions about each item.
  • Project Review – Evaluate your current projects, determine which are still active and relevant, and decide whether your system needs minor tweaks or a major overhaul.
  • Tag Optimization – Review your OmniFocus tags, adding useful ones, removing obsolete ones, and reorganizing your tag structure for clarity and efficiency.
  • Due Date Audit – Review your use of due dates throughout your system, identifying legitimately due tasks and clearing out dates that were assigned arbitrarily or are no longer relevant.
  • Maintenance Systems – Create System Maintenance projects and actions that help you keep OmniFocus clean, current, and reliable over time.

What You’ll Take Away

  • A clear roadmap and action plan for cleaning up your OmniFocus database
  • An “OmniFocus is Back on Track” project created during the workshop with specific next steps
  • Understanding of which projects, tags, and tasks serve you and which need to be archived or removed
  • A practical system maintenance routine to prevent future buildup
  • Renewed confidence in your approach and motivation to follow through
  • The foundation and framework to complete your cleanup work after the workshop

Who Should Attend

  • Fallen Out of the Habit – You used to use OmniFocus regularly, but it’s been gathering dust while tasks pile up elsewhere.
  • System Feels Cluttered – Your database has become overwhelming with outdated projects, irrelevant tasks, or too many tags that no longer serve you.
  • Starting Fresh (Again) – You’ve tried to get back on track on your own but need guided support and accountability to follow through.
  • Committed to Consistency – You recognize that the value of OmniFocus comes from regular use, not from having a perfect setup that sits idle.

Why This Workshop Matters

The biggest reason productivity systems fail isn’t poor initial setup—it’s lack of ongoing maintenance. When your system becomes cluttered or falls out of sync with your reality, it stops being useful. Tasks feel stale, projects seem irrelevant, and you stop trusting the system.

This workshop addresses that head-on. You’ll not only clean up your current system but also establish the workflows and maintenance habits that keep it functional going forward. The goal isn’t perfection—it’s a system you’ll actually use, day after day.
